ITEMS NEEDED FOR A CLAIM TO BE "READY TO CREATE ESTIMATE"

There are three main items needed to create a supplement: 1) SOL, 2) Measurements, and 3) Photos. 

 

For each of these items, please check the following:

 

1) Scope of Loss

 

First, please look over the SOL and note the main sections/headings (e.g., Roof, Garage, Front Elevation, Fence, Living Room, Bathroom, etc).

 

* NOTE ABOUT SKYLIGHTS: 

·       If the SOL includes skylight flashing or cladding -- or if you see any photos of damaged skylights -- please reach out to the client to ask if the skylights need to be replaced. Please note that following up about skylights does NOT affect whether a claim is Originated or Ready to Create Estimate. However, if the skylights do need to be replaced, it's best to start the conversation with the client as soon as possible.

 

*NOTE ABOUT low RCVs, ACV-only policies, and Erie Insurance: 

·       If the RCV is less than $7K, please look closely at the SOL to see if it’s worth supplementing. (For low-RCV SOLs, there’s usually not much potential for a good increase—unless a lot of items are missing.) Then, please follow-up with your client. While we can certainly proceed with the claim as a favor to the client, in most cases it will not be worth it to supplement.

·       If the HO has an ACV-only policy (or no building code coverage), please let the client know as a courtesy (they may not realize this). Since the majority of ACV-only and no building code coverage policies are with Allstate, please call Allstate anytime you have a claim with them to ask about this. (State Farm rental properties usually have no building code coverage as well.)

·       If the claim is with Erie Insurance, please alert the client. (In our experience, Erie is very difficult to work with and usually results in a very low increase.) If the client has never worked with Erie before, feel free to let them know that you’re willing to proceed with the claim (so that they can experience working with Erie)—but please warn them that it will likely involve a lot of work. 

 

Should any of these things occur:

·       Put the stage as Originated. Write a CRM note that you’re talking with the client re: this issue. Update the Estimating sheet to reflect this.

If the client would like to proceed:

·       Change the stage to Ready to Create Estimate. Write a CRM note explaining the reason for proceeding. Create a task to create the estimate. Update the Estimating sheet.

If the client would like to close the claim:

·       Change the stage to Cancelled. Write a CRM explaining the reason for cancelling. Update the Estimating sheet.

 

2) Measurements

 

Next, please check the measurement report(s).

 

*If the roof (shingles) is included in the SOL, please make sure that we have roof measurements. 

*If siding is included in the SOL, please make sure that we have siding/walls measurements. 

 

If the client wants us to proceed without measurements, please make a CRM note about it (so that the Estimator knows not to expect it).

 

3) Photos

 

First, please check if the client sent us photos corresponding to each of the main SOL sections/headings.

 

For example, if the roof is included in the SOL, are there roof photos? If the SOL includes the family room and kitchen, did the client send us photos of the family room and kitchen? If not, please follow up with the client to see if they have additional photos to send to us.

 

Next, please check if the client sent us photos of any interior rooms that are NOT included in the SOL. For example, did the client send us bathroom photos, but the bathroom isn't included in the SOL? In this case, we would need measurements of the bathroom. If the client sent us interior photos without any interior measurements (either in the SOL or as a separate document), please reach out to the client to ask.

 

As above, please add a CRM note about anything unusual. For example, if the client sends us interior photos but doesn't have any interior measurements for us, please make a CRM note about it.

 

4) Instructions From Client: In some cases, the client will ask you to include certain items in the supplement. If this occurs, please check that we have the supporting photos or documents needed to include those items. (For example, if the client asks you to include sheathing, please make sure that we have sheathing pictures .)
