AI Tutorial for Symbility HLX

This guide provides a step-by-step process for utilizing Google AI's Gemini 1.5 to quickly compare
Symbility HLX estimates with Xactimate estimates. It’s important to note that AI may not be able
to do our work for us, but it will make it easier for us to identify line item changes efficiently.

Before you start:
● Rename the document file accordingly; it should be “RF estimate” & “INS estimate”
● Sign in using your Google account at Google AI Studio: https://aistudio.google.com/app/prompts/new_chat (open link to a new tab)

Here’s the breakdown:
1. Create a new prompt.

2. Upload both documents so that Gemini 1.5 can analyze them.
3. To enable Gemini to identify the line items in the estimates.
      a. Add the prompt “Create a side-by-side comparison of both files. Outlining the
description and quantity in columns.”
4. If Gemini’s output still doesn’t show the proper columns for easy cross-referencing, try to
create a different prompt.
      a. You can try using this prompt: “The columns should be INS estimate description,
quantity, RF estimate description, and quantity.”
5. Since this is an AI, it may miss some items in the estimates, as the initial prompt covers the
entirety of the documents. We have to check the categories in the estimate to identify which
one to cross-reference it with.
      a. You can use this prompt to specify the category in the estimates: “Make a
side-by-side comparison of both files focusing on the roof plan/roof. Outlining the
description and quantity in columns.”
6. At this point, you should be able to identify the line items per estimate. Here’s the outcome
that we’re looking for:

7. Proceed with highlighting.
8. Once done and believe that you’ve created effective prompts, save them to your Library for
easy reuse in future HL tasks
      a. You can find the Save button at the upper right part of your screen:


REMINDERS FOR HIGHLIGHTING SYMBILITY:

● Symbility separates the “R&R” into two line items which are “tear-out” and “replace”. They
are usually written consecutively.
● Since R&R line items in Symbility are separate, we need to check the replacement quantity
when we check to see if the line item is approved. It's important to remember that replacing
an item always costs more than removing it.
● Some line items have two numbers in the QTY column. We have to remember that the
number in parenthesis includes waste, which is the number we cross-reference with our
estimate.


We should open the initial estimate that the insurance provided for further cross-referencing.
This will help us determine the requested changes in the RF’s estimate.
Bolded line items in the RF’s estimate mean changes have been requested. We need
to determine what changed, as it may be the material's quantity or type
(description).

● Although there are times that a line item may not be bolded in the RF’s estimate, this
doesn’t mean that we should not highlight it. It is still possible that the insurance used a
different unit of measurement; hence, we still need to highlight the QTY.

● We can check the quantity, unit price, and whole description to determine if the line items
are the same item/material.
○       To double-check the line item description:
■             Open two tabs on your browser and search in Google Images
■             One tab is for the Symbility description, and one tab is for the Xactimate line
description
■             Generally, you will see matching photos if both line items are the same
“item/material” despite having different SOL descriptions.
● For “Roofer’s work”/”Bid Items” - we must read through the description in our estimate and
the insurance RE to confirm if it is covered.

By following this guide, you can leverage the power of AI to streamline your HL task, reduce errors,
and save valuable time. Once again, while this tool provides a helpful and comprehensive
comparison of estimates, remember that AI is also bound to make mistakes. It's crucial to always
double-check the results to ensure accuracy. A final manual review will help prevent any potential
errors from slipping through.
