PRICELIST UPDATE (PLUX)

Overview: This article describes the procedure for requesting and managing price list updates. It outlines the steps to take when the price list on the INS estimate is outdated or does not align with the date on the material order.

PRICE LIST UPDATE REQUESTS (for GGR claims only)
Effective immediately, before reaching out to insurance to request a Price List Update on a GGR claim, please task GRACE to check it in Xactimate to make sure there won't be a decrease.  *In your task for Grace, please specify the start Month/Year and end Month/Year (so that she doesn't have to look through the Deal to find it). Thank you!

I. Identifying the need for PL Update

1. WHEN DO WE REQUEST FOR PRICE LIST UPDATE?
  1. If you are a Deal Owner and received a long task:
    "This claim is in post-production. Please review for additional items to supplement. Only pursue a Price List update or post-production items if the increase might be AT LEAST $500. (This doesn't include Jet Stream requests, which are handled differently.)"
    1. Long tasks only appear if the claim is in post production!
    2. So wherever you are on the claim, may it be under Nego or what, if you have to close it, close it. Just make sure to do the following steps:
      1. STEP 1: Please check in Contractor’s cloud > JETSTREAM
      2. STEP 2: Please check material order (CC > FILES > Material Order)
      3. STEP 3: Please check PL if needed to be updated
  1. If the Pricelist on the INS estimate is outdated or does not match the date on the material order.
    1. PL UPDATE REQUEST IS SENT VIA EMAIL.
    2. FOLLOW-UP CALLS UNTIL WE GET A REVISED ESTIMATE WITH UPDATED PL.
2. HOW TO KNOW IF I SHOULD PROCEED IN PLUX?
  1. STEP 1: Check the amount of the approved RCV, then divide by 10,000
    1. For Example = Approved RCV is $16,000
    2. 16,000 / 10,000 = 1.6
  2. STEP 2: Check gaps in months where the price list was initially provided vs. the post-production.
    1. For Example, Initial SOL price list is March and the production date is August. So the difference is 5 months.
    2. Each month is equivalent to $10.
    3. Which means for the 5 months gap if multiplied by $10 is $50.
  3. STEP 3: Compute it all together, if the outcome is $500 or more, then proceed to PLUX.
    1. Computation should be:
    2. 1.6 x $50 = $80
    3. In this case, PLUX is not needed.
  4. STEP 4: Add a task: PLUX - please go for a price list update.

II. Redacting Material Order

1. After identifying if PLUX is needed:
  1. Download the most recent Material Order: (CC > FILES > Material Order)

  1. Check the file if it is in need to be deskewed. If yes, go to i2pdf.com and select “Deskew PDF”.

  1. When a document is deskewed, save it as it will be the one we’re going to use to redact.
2. Redact the Material Order using ilovepdf.com: Please check the video at this LINK. (Timestamp 15:17 - 23:00)
  1. Go to ilovepdf.com > ALL PDF TOOLS > Edit PDF > Upload the material order

  1. Start redacting > select add Shape > select “rectangle” > change the color to “black”
  1. Make sure to cover the contents of the material order, leaving only one digit/letter/character at the end.

  1. Cover this part in white instead of black: “see photo above for example”
  1. Make sure to repeat the same manner in every page of the material order.
  2. Make it searchable.
  3. Save the document.
3. Highlight the invoice date and the RF’s details: Please check the video at this LINK. (Timestamp 23:40 - 26:00)
  1. After saving the redacted file, open it on MS Edge and highlight in yellow the following:

  1. Repeat the same manner in every page of the material order.
  2. Save the file with “R” at the end of the file name. So you can easily identify the redacted file.


III. Sending PLUX Request

1. Create a draft in the CRM note for PL Update: (DO NOT share to customer)

I hope your week is going well! Please find the attached material order. If you could kindly update the Xactimate price list to reflect [date in Material Order (month/year)], that would be much appreciated.

2. Create a task for Ivy, due next business day: Please QA PLUX daft. Thank you!
3. When the PLUX draft is good to send, send it using info10.
  1. BCC: support@claimsupplementpro.zohodesk.com
4. Create a CRM note: “PL Update request sent”
  1. Share this note to customer
5. Close your PLUX task and move the stage to “Sent to INS”
6. Create a new task for yourself to Confirm receipt of the PL update request and to follow up for RE, due next business day.

IV. Follow ups

1. Task should look like: "CX - confirm receipt - get estimate with updated PL."
  1. Call the ADJ to confirm receipt, once confirmed move the stage to “In Negotiations”.
  2. If ADJ is unreachable, call INS to confirm.
  3. Ask for the best time/day to follow up.
  4. Then follow the Escalation process until RE is received.
2. If PL update request is APPROVED
  1. If PLUX before CLOX
    1. Update the numbers in CRM and AM input sheet
    2. Use this closing note:

    1. Change the Service to: Additional Increase
    2. Create another line in the AM Input Sheet as additional Increase
      1. Original RCV should be the approved RCV when you did the closing
      2. Approved RCV should be the amount in the most recent RE that the ADJ/INS sent after PLUX
    3. Use this closing note:
      1. Add this note as a “reply” to the existing CLOX note you added in the Contractor’s Cloud.

3. If PL update request is denied
  1. If PLUX before CLOX
    1. If still trying to negotiate other line items, continue with the negotiation until there’s no more line items to fight for then do CLOX.
    2. If no longer pushing for any line items and just waiting for PLUX, then just do CLOX.
    3. FOR GGR CLAIMS: After CLOX, add a task for Vicki to FI and a task for Vlad to bill the Client.

  2. If PLUX after CLOX
    1. FOR GGR CLAIMS: create a task for GGR girl assigned to FI to “Please continue with FICC” due next business day. And another task for Vlad to “Please move stage to Completed - PLUX denied” due next business day.
      1. How to know who is the GGR girl to task? *there should be an existing task in the deal tasked to the GGR girl.
      2. The existing task should look like: (in this case, it’s Loraine)
  1. FOR NON GGR CLAIMS: simply create a task for Vlad to move the stage since PLUX is denied - “Please move stage to Completed - PLUX denied” due next business day.

V. Final Checklist of Steps
  1. Go to CC - Find the account using the Project Number
  2. Go to Photos/Files - Material Order(Credit Memo/Invoice) - Download the latest one
  3. Upload in Deskew - to straighten the file (as needed)
  4. Upload in IlovePDF - Edit PDF
  5. Redact the Amount/Information; only leave one letter or number at the end. Download the File
  6. Upload in IlovePDF - OCR PDF; Highlight: Date and Address. Download the file and put R in the file name
  7. Create a draft in CRM notes.
  8. Check Month and Year in Material Order/invoice Date, then add it to the CRM note.
  9. Reply in the email thread, CC: CC: Adjuster if needed/Claim Center Email Address, BCC: Support Zoho
  10. Create a CRM note: PL Update request sent to INS - (date)
  11. Close Task
  12. Create a new task after sending the document. Title: CX - confirm receipt of PL request. Continue to FF for RE with updated PL. Once received CLOX - move to billing.
